2019 show information and what's new

The OAFC 2019 Trade Show will be held in Halls 2, 3 & 4 of the International Centre, 6900 Airport Road in Mississauga on Friday, May 3 and Saturday, May 4, 2019.  Halls 3 & 4 offer high ceilings, allowing exhibitors to fully show off their aerials.
 
Trade Show cafe:  The Trade Show café is moving!  To better serve all attendees and exhibitors, the café will be moving to Hall 4 in 2019. In addition, better seating and a wide variety of food options will be available for the 2019 show.
 
New conference venue:  Exhibitors and attendees spoke, and we listened! Our conference sessions will now be held in the conference centre at The International Centre.  Our conference and Trade Show will once again be in one location!   
 
Increased signage:  The 2019 show will highlight enhanced signage to ensure attendees can find booths and the cafe more easily. 
 
New conference hotel:  Accommodations for attendees and exhibitors, and the evening functions of the event, will now be held at the Holiday Inn Toronto International Airport at 970 Dixon Road, Toronto, ON.  The Holiday Inn is just 4km away, a 6-minute drive from the International Centre.  We will be increasing our shuttle service from the Holiday Inn to the International Centre to ensure guests have easy access to both venues.
 
Returning features:  Many new features were implemented for the 2018 show based on comments, requests and suggestions received through evaluations and from the Vendor’s Meeting.  We are happy to report they were all well received, and will continue for the 2019 show:

It is the responsibility of the exhibitor to ensure that booths are open and staffed between the show hours. Booth materials may not be removed until the end of the show at 4 pm on May 4th.  Failure to comply with this ruling will result in a $250 penalty invoiced to the company following the show.

OAFC 2019 Move In

Thursday, May 2, 2019
 
Truck Wash: 6:00am
Vehicles Only:  7:00am
Booth Set-up:  1:00pm – 5:00pm
Final Prep: 7:30am – 9:30am - Friday, May 3
 
Vehicles, which are to be a part of the trade show, can be parked overnight on Wednesday, May 1, 2019. Parking lot security will be provided on Wednesday night until Thursday morning.  An email will be sent closer to the trade show date with a map of the area that will be used. 
 
Exhibitor vehicle move in will be on Thursday, May 2, 2019 starting at 7:00am.  Vehicles will be directed in according to the order determined by the OAFC staff.  All vehicles must be ready to enter the exhibit hall at 7:00am. 
 
Move in for the Exhibitor Outdoor/Demo space may take place any time after 7:00am on Thursday, May 2, 2019.  All displays must be ready at 9:30am on Friday, May 3, 2019.  Security for the Exhibitor Outdoor/Demo space will start at 5:00pm on Thursday, May 2, 2019. You must have a registered paid space inside the Trade Show to be eligible for Outdoor/Demo space.
 
Complimentary coffee, tea and water will be available on the day of move-in starting at 7:00am. 
 
Exhibitor registration and booth move-in and set-up will begin at 1:00pm on Thursday, May 2, 2019 at the entrance to the exhibit hall at the back of Hall 2.
 
Fire service cadets will be available from 1:00pm until 5:00pm on Thursday, May 2 and 8:00am until 5:00pm on Saturday, May 4 to assist Exhibitors with move in and move out.
 
Exhibitor set up will close at 5:00pm on Thursday, May 2 and resume at 7:30am on Friday, May 3. All exhibitors are to be completely set up in their designated booth(s) by 9:30am on Friday.  Doors open to the Trade Show at 10:00am. 
 
Please note the International Centre deems the trade show floor a construction site therefore no one under 16 years of age is allowed on the trade show floor during move-in.
 

OAFC 2019 Move Out

It is the responsibility of the exhibitor to ensure that booths are cleared, and all exhibit materials are removed from the exhibit area between 4:00pm & 8:00pm on Saturday, May 4.  Any freight/booths that have not been removed/picked up by 8:00pm on Saturday, May 4, will be removed/forced from the floor at the exhibitor’s expense.
 
From a health and safety perspective, we ask that trucks not be started until 4:30pm.  This allows an opportunity for booth vendors to pack up and leave before the trucks are started, creating exhaust fumes. 
 
Fire service cadet volunteers will be available to assist exhibitors with move out. It is understood and agreed that any materials remaining after the above time will be removed and stored at the exhibitor’s expense.
 

Insurance and Safety

While every precaution is taken to safeguard exhibits, Show Management and The International Centre do not assume responsibility for the safety of exhibits against robbery, fire, damage, accidents or any cause whatsoever, whether during move in, show time or move out periods.  In all cases, exhibitors must insure their goods and exhibits against such losses.  Entry into storage and loading areas is at the exhibitor’s risk.
 
Show Management and The International Centre do not assume responsibility for personal injury due to accidents of any cause whatsoever. 
 

Security of Exhibitor's Property

The Trade Show will have 24-hour security; however, Show Management accepts no responsibility or liability for loss or damage to merchandise or display material. 
 
Security will be on duty throughout move-in, show days and nights, and move-out.  These people are there to safeguard your interests.  Please extend them your fullest cooperation.  You can assist by not bringing into the Trade Show halls during move in or take down any person not directly involved in the set up or dismantling of your display.

Exhibitors are asked to contact the Show Office IMMEDIATELY if losses are experienced, so that an investigation can be conducted. 
 
The International Centre and the Association are not responsible for the protection or security of exhibits, merchandise, or personnel against robbery, theft, damage by fire, damage by water, accident or any other cause.  In all cases, exhibitors should provide their own insurance. 
 
Security staff will be present in the exhibit area during those times when exhibitors are not required to be in attendance.  The presence of security staff does not constitute acceptance of any responsibility by the Association and The International Centre for security of the exhibitor’s possessions, but is a service rendered only to assist the exhibitor during the show. 
 

Cancellation by Exhibitor - IMPORTANT, PLEASE READ

There is an administrative fee of $500.00 for all cancellations.  In the event of a cancellation by an exhibitor, after March 1, 2019, the OAFC Show Management shall retain the exhibit fee unless a suitable replacement exhibitor can be found to purchase the space.  All cancellations must be received in writing. No refunds will be given after April 1, 2019.


OAFC 2019 Conduct

The exhibitor agrees to use the said space solely for the display and/or sale of his product and/or service manufactured, distributed or sold as a bona fide sales agency (incorporated with the laws of Canada as such). 
 
He/she agrees not to sublet, assign or share any part of the exhibit space with any other manufacturer; distributor; wholesaler; jobber; sales agency or person or to allow orders to be taken within the exhibitor’s space by any person other than the exhibitor’s own employees or agents. 
 
Exhibitors are responsible for and agree to make good any damages to the building or Show equipment caused by their occupation of the space. 
 
Booths must be staffed at all times during the Show hours and alcoholic beverages are not to be served. 
 
Exhibitors are not to accost attendees in the aisle or in other exhibitor’s booths.  Any breach of this regulation will be dealt with severely. 
 
Handouts of promotional material or product are strictly prohibited outside the confines of your exhibit space. 
 
Any flashing or strobing lights on display (whether on a vehicle or part of your booth display) must only be used when demonstrating your product to a potential customer.  Some individuals can experience disorientation, vertigo, photosensitive epilepsy and nausea-inducing effects of a strobe or ongoing flashing lights.  For safety reasons, please keep these types of lighting to a minimum.  
 
Photographing another exhibitor’s display is not permitted without consent of the exhibitor.  In addition, exhibitors are reminded that visiting other booths is by invitation only and are requested to observe this fundamental courtesy at all times. 
 
Violation of any of the above-mentioned conditions could result in the immediate cancellation of the exhibitor’s contract and all funds due or paid will be forfeited and will result in immediate eviction from the show. 
 

Liability and Indemnification

Exhibitors are responsible for any and all damage to The International Centre facilities and equipment, whether caused by transportation, installation or dismantling of displays, posters, signs; whether this damage is caused by those in attendance, or the exhibitor’s employees and/or guests. 
 
The Association and The International Centre will not be responsible for loss and/or damage or injury, no matter how caused, to exhibits, merchandise, or personnel, while such are on the property of The International Centre. 
 
The Exhibitor (Lessee) agrees that they will indemnify and save harmless at all times the Association and The International Centre from all claims, demands, suits, or actions of any kind, including claims or rights created by statute for loss, expense, damage, or injury (including death), to persons or property, caused or contributed to by reason of the exhibitor’s occupation of the exhibit space, or by any act or omission of the exhibitor in connection with their delivering, setting up, or dismantling their exhibit, or by reason of the exhibitor failing to comply with provisions of this agreement.  
 
Exhibitors shall provide their own comprehensive public liability insurance and proof must be provided to Show Management prior to Show set up.


Completing registration indicates that you have read and agreed to the following Terms and Conditions as outlined in this Exhibitor Prospectus and as follows:

 
Terms and Conditions of Contract between the Exhibitor and the Ontario Association of Fire Chiefs.  ("Management")
 
1. Management reserves the right to alter or change the space assigned to the Exhibitor. Management further reserves the right, at its sole discretion to change the date or dates upon which the show is held, or to cancel the show, and shall not be liable in damages or otherwise by reason of any such change or cancellation, other than to refund in full any amounts paid by the Exhibitor to Management. 
 
2. The Exhibitor shall comply with all rules and regulations by Management for the show and agrees that Management’s decision to adopt and enforce any such rule or regulation shall be final and binding. 
 
3. The Exhibitor is responsible for compliance with all applicable law, bylaw, ordinances, regulations, requirements, codes and standards, including those with respect to fire, safety, health and environmental matters and shall ensure that all equipment, materials and goods used by the Exhibitor so comply. 
 
4. The Exhibitor shall indemnify and hold Management harmless from and against any loss, injury or damages whatsoever suffered by Management as a result of the Exhibitor’s failure to comply with the terms and conditions of this contract or as a result of the Exhibitors participation in the show, including without limitation, any third party claim against Management with respect to loss, injury or damage sustained or suffered by any other exhibitors, the owner of the building, attendees of the show, and their respective directors, officers, agents and employees. 
 
5. This contract may be canceled by either party provided written notice is received by the other by March 1, 2019, in which case all monies paid by the Exhibitors will be refunded less an administration fee of $500 per booth. If the Exhibitor cancels after such date, it will be responsible for the full contract price. 
 
6. Management reserves the right at any time to alter or remove exhibits or any part thereof, including printed material, products, signs, lights or sound, and to expel exhibitors or their personnel if, in Management’s opinion, their conduct or presentation is objectionable to Management or to other show participants. 
 
7. Exhibitor’s display must comply with all requirements of Management and of the owner of the building, including maximum height requirements. The Exhibitor must provide at least one, and not more than three, staff per booth/marketplace, to maintain display during show hours. The Exhibitor agrees to confine its presentation to the contracted space only. 
 
8. All goods shipped to the show must be clearly marked with the name of the Exhibitor and the number of the display space. Goods must not be shipped to the show with any shipping charges to be paid on arrival as any such goods will not be accepted by Management. Management assumes no responsibility for loss or damage to the Exhibitor’s goods or property either before, during or after the show. (Do not ship to the site prior to the move-in date as they cannot store it.) 
 
9. In consideration of the Exhibitor’s participation in the show, the Exhibitor hereby releases Management, its directors, officers, agents and employees from any and all claims, losses, or damages whatsoever suffered or sustained by the Exhibitor in connection with its participation in the show, including, without limitation, any claims for loss or theft of property, personal injury, or loss of business or profits, whether arising from any act of Management or otherwise. 
 
10. The Exhibitor is responsible for the placement and cost of insurance relating to its participation in the show. The Exhibitor shall carry liability insurance of $2 million with a $500 deductible, as well as such additional insurance as may be required by Management. The Exhibitor agrees to furnish to Management, certificates of insurance pertaining to all policies of insurance carried by the Exhibitor together with satisfactory evidence from the insurers of the continuation of such policies. If the Exhibitor fails to comply with any of the foregoing, in addition to any other rights or remedies available to Management at law or under this contract, Management shall have the right to take possession of the display space for such purposes as it sees fit and the Exhibitor will be held liable for the full contract price for the said space. 
 
11. The Exhibitor agrees that no display may be dismantled or goods removed during the entire run of the show or a penalty of $250 shall be paid. The Exhibitor agrees to remove the exhibit, equipment and appurtenances from the show building by the final move out time. In the event of failure to do so, the Exhibitor agrees to pay for such additional costs as may be incurred by Management.

12. The Exhibitor will comply with the rules and regulations of any unionized contractors, which may be selected by Management to service the exhibitors. Any dispute between the Exhibitor and any such contractor or union representative will be referred to Management for resolution, whose decision shall be final and binding on all parties. 
 
 
13. Management reserves the right to cancel this contract and to withhold possession of the space or to expel the Exhibitor there from if the Exhibitor fails to comply with any terms and conditions of this contract or the show rules and regulation, in which case the Exhibitor shall forfeit as liquidated damages and not as a penalty all payments made pursuant to this contract, all without limiting Management’s other rights and remedies at law under this contract as a result of such failure to comply.

OAFC 2019 Trade Show Exhibit Fees

Once again, the OAFC is offering incentives to exhibitors in order to secure their booth space early.  The following options are available to vendors for the 2019 show:
 
  • Pay your entire booth fee by cheque or EFT, before October 1, 2018 and save 5% on your booth fees.
  • Pay only 25% of your fee now, and your booth selection will be held until January 15, 2019.  All booths secured with a deposit must be paid in full by January 15, 2019.  Any booths not paid in full by the deadline, will be released.
To take advantage of the 25% deposit option, register and select INVOICE as your payment option and in the additional comments field put “25% deposit”. 
 
Trade Show registration opens first to sponsors, then to OAFC Industry Members, then to 2018 exhibitors and then it opens to any potential vendor.  The dates for registration are as follows:
 
  • Opens for SPONSORS ONLY: Monday, July 23, 2018
  • Opens for INDUSTRY MEMBERS ONLY: Wednesday, August 1, 2018
  • Opens for 2018 EXHIBITORS: Wednesday, August 15, 2018
  • Open to ALL POTENTIAL EXHIBITORS: Monday, August 27, 2018

Non-Profit Booth Requests

Each year the OAFC Trade Show offers a selection of complimentary booths to non-profit organizations who contribute in a positive way to the fire service. The complimentary booths are selected at the discretion of the OAFC. All requests will be considered on a case-by-case basis and will depend on available space.

UNAUTHORIZED SOLICITATION WARNING REGARDING HOTEL/HOUSING FOR OAFC 2019.


The OAFC has experiened ongoing, unauthorized hotel reservation service providers contacting a number of companies exhibiting at OAFC 2019, using our name and referencing our trade show.  We have not authorized any company to solicit reservations on our behalf.  No other service provider is representing the OAFC, nor has the OAFC authorized them to use your name or our name/trademarks on information they send out to exhibitors. Do not respond to calls from reservation companies or anyone claiming to be from the hotel.  
 
These type of companies offer a pre-paid hotel reservation service and we believe that exhibitors and attendees need to be extremely careful when dealing with them, as substantial booking fees (up to 25% of the booking) are charged, in addition to the hotel price.  These types of companies operate very stringent cancellation policies and are not always transparent on their fees or services upfront.

The following list are unauthorized providers that we are currently aware of. (Please note there may be additional companies of which we are not aware.) If you are contacted by one of the companies listed below that are offering hotel reservation services for OAFC 2019, we urge you to proceed with extreme caution before signing agreements issued by these organizations or others soliciting the same “deals.”

ELITE Conference Prize $10,000
Everyone LOVES to win a prize – especially if it’s a large ticket item.   Each conference delegate will get a chance to win. The Annual Memorial Service on Saturday is an extremely moving event, where we memorialize those chief officers who have left us since the last conference.  The Memorial Service & Wine & Cheese Reception is one of our most attended events. Trade Show Café $7,000

Coffee Breaks $5,000
Treat our fire service personnel to a cup of coffee. Get yourself front and centre by sponsoring OAFC 2019 coffee breaks - twice a day - throughout the length of the conference. The coffee break sponsor will have custom branded take out cups at each break, ensuring your company’s imaging stays with our guests for the duration of the conference. 
 
Conference Lunch $5,000
Treat our fire service personnel to lunch during one of the conference days. The registration area is always a hub of OAFC 2019 – Every attendee and trade show guest must check in at registration.  Sponsoring the registration desks will enhance your brand at the show as your company can design the reg. desks including directions to your booth.  This includes all registration booths at the conference location and at the trade show. OAFC 2019 Lanyards $5,000 
Every attendee, vendor and guest speaker have to wear a name badge at OAFC 2019.  Get the attention and recognition by sponsoring the lanyard that will be around our guest’s necks all week. Your company’s logo will be incorporated into the lanyard design.
 
OAFC 2019 Delegate Note Books $5,000

Educational content and quality speakers are at the very source of our event!  With the new conference format “track” based, there are new opportunities to sponsor a specific program.  Program sponsorship means that you are the host of this day!  Each program sponsorship includes the opportunity to MC the day, and introduce each speaker.  In addition, program sponsors get a short time slot to address the delegates.  Your company’s branding will be incorporated throughout the meeting space, audio visual, and included in all event marketing.

Sponsor the program that’s goal is to educate the fire service on important health and safety issues.  This program addresses topics that are at the forefront of health and safety in the fire service.  The goal is to provide information, resources and training to help reduce the number of preventable injuries in the fire and emergency service. This includes culture and leadership focus on safety in every aspect of the job, as well as physical and mental health fitness.

The Training Officer’s Program includes a variety of training resources, information and innovative ideas relevant to today’s fire training officers. The program is delivered by high-profile instructors, speaking on the most current hot topics in fire training.  This program helps build a communications network to share best practices and resources with other training professionals.
 
  • Public Educators Program $3,000
This program is specifically tailored to promote education initiatives relevant to today’s public fire educators and fire prevention officers. Ontario’s public educators educate, train, motivate and inspire fire and life safety programs and messages in their communities.  This program will help develop new, innovative ways to promote fire safety and education.
 
  • Municipal Officials Program $3,000
This program offers elected officials the opportunity to understand the challenges of the fire service and its importance in their communities. This two-day session includes presentations customized to provide the essential information about the fire service.  The highlight of the program is our interactive, hands-on fire training session!  Municipal officials slip into bunker gear and experience firsthand the life of a firefighter by participating in a live fire training session. 
 
  • Communicators Program $2,000
This forum helps communicators understand more about today’s common issues facing Ontario’s communication centres. Fire communicators are responsible for processing requests for emergency and non-emergency assistance via 9-1-1 lines, administration lines, the radio system or direct contact with the public. This seminar includes a variety of presentations specifically selected on important issues facing communicators in today’s fire service.
 
Trade Show Front Entrance Fire Truck Display $4,000
Wow OAFC 2019 attendees and guests right from the start. Help enhance the main entrance at the International Centre by having two of your fire trucks on display, front & centre. Better yet – put your company’s flag or banner from your ladder to welcome all guests.   A front and centre way to showcase your equipment and brand!
 
OAFC 2019 Shuttle $3,000
Attendees staying at the main conference hotel will need to take the shuttle to the trade show at the International Centre. Grab their attention by sponsoring each shuttle. As the sponsor, the bus will be outfitted with custom signage, custom water bottles – branded to your company, and you have the opportunity to provide marketing materials at each seat –put your company representative on the bus at peak times for a target audience!  
 
Smart Device Charging Stations $3,000 
Be the source of power during the conference and trade show!  2 - 5ft charging stations, placed at the trade show café (or in your booth) showcasing your company’s branding.  Each station includes a monitor where you can provide a customized video or message.  Our guests will be thanking you – especially when they left their charger back at the hotel.
 
Sugar Break $3,000
Our conference guests LOVE their sugar!  The OAFC 2019 sugar sponsor, gets customized candy offered to conference guests during their morning and afternoons of educational programs.  Your customized candy, in customized containers, will be spread throughout the conference room for our fire service guests to enjoy.

Companion Program $1,000
Host the off-site excursions companions participate in. The excursions will take place in the GTA and showcase the local area. OAFC 2019 Evening Functions

OAFC 2019 offers two evening functions promoting social opportunities, raising funds for a great cause and networking with your industry colleagues.   All evening functions will be conveniently located at the conference venue, the Holiday Inn Toronto International Airport, 970 Dixon Road and are open to all guests. 
 

Networking "FUN" Raising Night

Friday, May 3, from 8pm to 12am
Trillium Ballroom, The Holiday Inn Toronto International Airport & Conference Centre
 
Conference guests and trade show vendors come together for a fun night of networking and fundraising at this complimentary event. 
 
    
 
In 2018, Ontario’s chief fire officers, represented by the Ontario Association of Fire Chiefs presented a cheque for $50,484.14 to the Canadian Fallen Firefighters Foundation (CFFF) on June 22, 2018.  The funds were raised through the Netoworking FUN Raising Night which was sponsored by fire industry leaders A.J. Stone Co. Ltd and Safetek.   In 2018, this event raised more money than any year prior.
 
The impressive donation to the CFFF is thanks in large part to the contributions and efforts of the OAFC charity night sponsors, A.J. Stone Co. Ltd and Safetek Emergency Vehicles.  These two organizations covered the all evening costs, which allowed us to host an engaging fundraising event, complete with raffle prizes, silent auction and games to garner generous donations from those in attendance.  In addition, they sold t-shirts and special designed mugs in which all proceeds went directly to the charity. 
 
The OAFC also recognizes the efforts of the following companies who contributed to the event’s “FUN” raising efforts:

Memorial Service & Reception

The OAFC Memorial Service is an annual event held to honour the chief officers who have passed away since our last conference. It is an extremely moving service.  The service has many special guests in attendance including a fire service honour guard, the Ontario Fire Service Pipes and Drums and a choir. This is our most revered, and well attended event of the year. 
 
A reception will follow the service.  The attire is full dress uniform or business dress.
