What's New for 2017

Returning and New Features for OAFC 2017

Many new features were implemented for the 2016 show based on comments, requests and suggestions received through evaluations and from the 2015 Vendor Meeting.  After implementing many of them, we are happy to report they were all well received and will continue for the 2017 show. 
 

Features Returning:

Deluxe Booth Option – Includes standard black carpet in 10’x10’ booths. The OAFC is able to offer, once again, carpet at a minimal financial increase by using our buying power to secure a better price for carpet. The trade show manager will work with all custom booths to order carpet that exceeds the standard 10’x10’ booth. The deluxe option will save exhibitors up to $167.00 and the administrative time it takes to order carpet. We will continue to offer standard and enhanced booths.
 
Café Vouchers – Vouchers included in the Enhanced and Deluxe Booths options will be in $10.00 denominations each, with a total of $40.00 allowing exhibitors to use the vouchers for breakfast, coffee breaks and lunch.
 
Free WiFi – Each booth will receive a complimentary Wi-Fi password for the duration of the trade show to use on one device. Total savings of $75.00 per password.
 
Water Stations – Water stations will be available at the loading dock doors for the trade show set-up and during the show.
 
Aisle Floor Signs – Aisle floor signs will be included to help attendees and exhibitors locate booths.
 
Electronic Trade Show Passes – We will be continuing to use electronic trade show passes.  We are very pleased to see that so many of the exhibitors were utilizing them for their clients.  The wait times were greatly reduced with the barcode, express counter check in.
 

New for 2017

Electronic Pass Numbers – The number allowed for each exhibitor will be increased.
 
Trade Show Floor Layout – The OAFC Trade Show Café will return to the trade show floor for 2017.  This will better facilitate both vendors and attendees during trade show hours.

It is the responsibility of the exhibitor to ensure that booths are open and staffed between the show hours. Booth materials may not be removed until the end of the show at 4 pm on May 8.  Failure to comply with this ruling will result in a $250 penalty invoiced to the company following the show.

A block of rooms have been reserved at the Crowne Plaza and the Holiday Inn Toronto Airport East. Exhibitors must contact the hotel to individually book reservations.  Please note that the shuttle bus service is only available for the HOST hotel.

Vehicles, which are to be a part of the trade show, can be parked overnight on Friday, May 5, 2017 in the North Lot (up past the water tower) for staging of the trucks before move in on Saturday morning. Parking lot security will be provided on Friday night till Saturday morning.  An email will be sent closer to the trade show date with a map of the area that will be used.
 
Exhibitor vehicle move in will be on Saturday, May 6, 2017 starting at 6:00 am.  Vehicles will be directed in according to the order determined by the OAFC staff.  All vehicles must be ready to enter the exhibit hall at 6:00 am.
 
Move in for the Exhibitor Outdoor/Demo space may take place any time after 6:00 am on Saturday, May 6, 2017.  All displays must be ready at 9:30 am on Sunday, May 7, 2017.  Security for the Exhibitor Outdoor/Demo space will start at 5:00 pm on Saturday, May 6, 2017. You must have a registered paid space inside the Trade Show to be eligible for Outdoor/Demo space. Complimentary coffee, tea and water will be available on the day of move-in starting at 6:00 am.
 
Rules for trucks in the Toronto Congress Centre
  • Gas tanks should be 3/4 full
  • Gas cap should be sealed (taped or locked)
  • Disengage battery
  • Place an oil pan underneath when parked
Exhibitor registration and booth move-in and set-up will begin at 1:00 pm on Saturday, May 6, 2017 at the entrance to the exhibit hall at the back of Hall I.
 
  • Fire service cadets will be available from 1:00 pm till 5:00 pm on Saturday, May 6 and 8:00 am till 5:00 pm on Sunday, May 7 to assist Exhibitors with move in.
Exhibitor set up will close at 5:00 pm on Saturday, May 6 and resume at 7:00 am on Sunday, May 7. All exhibitors are to be completely set up in their designated booth(s) by 9:30 am on Sunday.  Doors open to the Trade Show at 10:00 am.
 
Please note the Toronto Congress Centre deems the trade show floor a construction site therefore no one under 16 years of age is allowed on the trade show floor during move-in.
 

OAFC 2017 Move Out

 
Monday, May 8th ...................4:00 pm – 10:00 pm
 
It is the responsibility of the exhibitor to ensure that booths are cleared and all exhibit materials are removed from the exhibit area between 4:00 pm & 10:00 pm on Monday, May 8, 2017 but no sooner.
 
From a health and safety perspective, we ask that trucks not be started until 4:30pm.  This allows an opportunity for booth vendors to pack up and leave before the trucks are started, creating exhaust fumes.
 
  • Fire service cadet volunteers will be available to assist exhibitors with move out. It is understood and agreed that any materials remaining after the above time will be removed and stored at the exhibitor’s expense.

Insurance and Safety

While every precaution is taken to safeguard exhibits, Show Management and The Toronto Congress Centre do not assume responsibility for the safety of exhibits against robbery, fire, damage, accidents or any cause whatsoever, whether during move in, show time or move out periods.  In all cases, exhibitors must insure their goods and exhibits against such losses.  Entry into storage and loading areas is at the exhibitor’s risk. 
 
Show Management and The Toronto Congress Centre do not assume responsibility for personal injury due to accidents of any cause whatsoever.
 

Security of Exhibitor's Property

The Trade Show will have 24-hour security; however, Show Management accepts no responsibility or liability for loss or damage to merchandise or display material.
 
Security will be on duty throughout move-in, show days and nights, and move-out.  These people are there to safeguard your interests.  Please extend them your fullest cooperation.  You can assist by not bringing into the Trade Show halls during move in or take down any person not directly involved in the set up or dismantling of your display.

Exhibitors are asked to contact the Show Office IMMEDIATELY if losses are experienced, so that an investigation can be conducted.
 
The Toronto Congress Centre and the Association are not responsible for the protection or security of exhibits, merchandise, or personnel against robbery, theft, damage by fire, damage by water, accident or any other cause.  In all cases, exhibitors should provide their own insurance.
 
Security staff will be present in the exhibit area during those times when exhibitors are not required to be in attendance.  The presence of security staff does not constitute acceptance of any responsibility by the Association and the Toronto Congress Centre for security of the exhibitor’s possessions, but is a service rendered only to assist the exhibitor during the show.
 

Cancellation by Exhibitor

In the event of a cancellation by an exhibitor, after March 1, 2017, the OAFC Show Management shall retain the exhibit fee unless a suitable replacement exhibitor can be found to purchase the space.   There will be an administrative fee of $500.00 for all cancellations. All cancellations must be received in writing. No refunds will be given after April 1, 2017.
 

OAFC 2017 Conduct

The exhibitor agrees to use the said space solely for the display and/or sale of his product and/or service manufactured, distributed or sold as a bona fide sales agency (incorporated with the laws of Canada as such).
 
He/she agrees not to sublet, assign or share any part of the exhibit space with any other manufacturer; distributor; wholesaler; jobber; sales agency or person or to allow orders to be taken within the exhibitor’s space by any person other than the exhibitor’s own employees or agents.
 
Exhibitors are responsible for and agree to make good any damages to the building or Show equipment caused by their occupation of the space.
 
Booths must be staffed at all times during the Show hours and alcoholic beverages are not to be served.
 
Exhibitors are not to accost attendees in the aisle or in other exhibitor’s booths.  Any breach of this regulation will be dealt with severely.
 
Handouts of promotional material or product are strictly prohibited outside the confines of your exhibit space.
 
Photographing another exhibitor’s display is not permitted without consent of the exhibitor.  In addition, exhibitors are reminded that visiting other booths is by invitation only and are requested to observe this fundamental courtesy at all times.
 
Violation of any of the above mentioned conditions could result in the immediate cancellation of the exhibitor’s contract and all funds due or paid will be forfeited, and will result in immediate eviction from the show.
 

Liability and Indemnification

Exhibitors are responsible for any and all damage to The Toronto Congress Centre facilities and equipment, whether caused by transportation, installation or dismantling of displays, posters, signs; whether this damage is caused by those in attendance, or the exhibitor’s employees and/or guests.
 
The Association and the Toronto Congress Centre will not be responsible for loss and/or damage or injury, no matter how caused, to exhibits, merchandise, or personnel, while such are on the property of The Toronto Congress Centre.
 
The Exhibitor (Lessee) agrees that they will indemnify and save harmless at all times the Association and The Toronto Congress Centre from all claims, demands, suits, or actions of any kind, including claims or rights created by statute for loss, expense, damage, or injury (including death), to persons or property, caused or contributed to by reason of the exhibitor’s occupation of the exhibit space, or by any act or omission of the exhibitor in connection with their delivering, setting up, or dismantling their exhibit, or by reason of the exhibitor failing to comply with provisions of this agreement. 
 
Exhibitors shall provide their own comprehensive public liability insurance and proof must be provided to Show Management prior to Show set up.


Completing registration indicates that you have read and agreed to the following Terms and Conditions as outlined in this Exhibitor Prospectus and as follows:

Terms and Conditions of Contract between the Exhibitor and the Ontario Association of Fire Chiefs.  ("Management")

1. Management reserves the right to alter or change the space assigned to the Exhibitor. Management further reserves the right, at its sole discretion to change the date or dates upon which the show is held, or to cancel the show, and shall not be liable in damages or otherwise by reason of any such change or cancellation, other than to refund in full any amounts paid by the Exhibitor to Management.
 
2. The Exhibitor shall comply with all rules and regulations by Management for the show and agrees that Management’s decision to adopt and enforce any such rule or regulation shall be final and binding.
 
3. The Exhibitor is responsible for compliance with all applicable law, bylaw, ordinances, regulations, requirements, codes and standards, including those with respect to fire, safety, health and environmental matters and shall ensure that all equipment, materials and goods used by the Exhibitor so comply.
 
4. The Exhibitor shall indemnify and hold Management harmless from and against any loss, injury or damages whatsoever suffered by Management as a result of the Exhibitor’s failure to comply with the terms and conditions of this contract or as a result of the Exhibitors participation in the show, including without limitation, any third party claim against Management with respect to loss, injury or damage sustained or suffered by any other exhibitors, the owner of the building, attendees of the show, and their respective directors, officers, agents and employees.
 
5. This contract may be canceled by either party provided written notice is received by the other by March 1, 2017, in which case all monies paid by the Exhibitors will be refunded less an administration fee of $500 per booth. If the Exhibitor cancels after such date, it will be responsible for the full contract price.
 
6. Management reserves the right at any time to alter or remove exhibits or any part thereof, including printed material, products, signs, lights or sound, and to expel exhibitors or their personnel if, in Management’s opinion, their conduct or presentation is objectionable to Management or to other show participants.
 
7. Exhibitor’s display must comply with all requirements of Management and of the owner of the building, including maximum height requirements. The Exhibitor must provide at least one, and not more than three, staff per booth/marketplace, to maintain display during show hours. The Exhibitor agrees to confine its presentation to the contracted space only.
 
8. All goods shipped to the show must be clearly marked with the name of the Exhibitor and the number of the display space. Goods must not be shipped to the show with any shipping charges to be paid on arrival as any such goods will not be accepted by Management. Management assumes no responsibility for loss or damage to the Exhibitor’s goods or property either before, during or after the show. (Do not ship to the site prior to the move-in date as they cannot store it.)
 
9. In consideration of the Exhibitor’s participation in the show, the Exhibitor hereby releases Management, its directors, officers, agents and employees from any and all claims, losses, or damages whatsoever suffered or sustained by the Exhibitor in connection with its participation in the show, including, without limitation, any claims for loss or theft of property, personal injury, or loss of business or profits, whether arising from any act of Management or otherwise.
 
10. The Exhibitor is responsible for the placement and cost of insurance relating to its participation in the show. The Exhibitor shall carry liability insurance of $2 million with a $500 deductible, as well as such additional insurance as may be required by Management. The Exhibitor agrees to furnish to Management, certificates of insurance pertaining to all policies of insurance carried by the Exhibitor together with satisfactory evidence from the insurers of the continuation of such policies. If the Exhibitor fails to comply with any of the foregoing, in addition to any other rights or remedies available to Management at law or under this contract, Management shall have the right to take possession of the display space for such purposes as it sees fit and the Exhibitor will be held liable for the full contract price for the said space.
 
11. The Exhibitor agrees that no display may be dismantled or goods removed during the entire run of the show or a penalty of $250.00 shall be paid. The Exhibitor agrees to remove the exhibit, equipment and appurtenances from the show building by the final move out time. In the event of failure to do so, the Exhibitor agrees to pay for such additional costs as may be incurred by Management.

12. The Exhibitor will comply with the rules and regulations of any unionized contractors, which may be selected by Management to service the exhibitors. Any dispute between the Exhibitor and any such contractor or union representative will be referred to Management for resolution, whose decision shall be final and binding on all parties.
 
13. Management reserves the right to cancel this contract and to withhold possession of the space or to expel the Exhibitor there from if the Exhibitor fails to comply with any terms and conditions of this contract or the show rules and regulation, in which case the Exhibitor shall forfeit as liquidated damages and not as a penalty all payments made pursuant to this contract, all without limiting Management’s other rights and remedies at law under this contract as a result of such failure to comply.

From the Kipling Subway Station - Transfer onto the Martin Grove #46 bus heading north and take to Dixon Road stop, then walk a few minutes west along Dixon Road to City View Drive. We are located on the right.

The OAFC is aware of unauthorized hotel reservation service providers (otherwise known as housing companies) contacting a number of companies exhibiting at OAFC 2017, or previous shows, using our name and referencing our trade show.  We have not authorized any company to solicit reservations on our behalf.

Please note that all OAFC reservations should be made by contacting Mariela Rossi at
OAFC@cptayyz.com or 416-675-4728. Please indicate you are booking your room for OAFC 2017.

Do not respond to calls from reservation companies or anyone claiming to be from the hotel.  

Please note that no other service provider is representing the OAFC, nor has the OAFC authorized them to use your name or our name/trademarks on information they send out to exhibitors.

If you are contacted by one of the "hotel pirates" listed below that are offering hotel reservation services for the OAFC 2017, we urge exhibitors and attendees to proceed with extreme caution before signing anything sent by this organization or other organizations such as this.

These type of companies offer a pre-paid hotel reservation service and we believe that exhibitors and attendees need to be extremely careful when dealing with them as a substantial booking fees (up to 25% of the booking) are charged in addition to the hotel price.  These types of companies operate very stringent cancellation policies and are not always transparent on their fees or services upfront.

Please be assured that the OAFC is committed to providing you with quality services to make your show experience positive, and we will vigorously pursue these organizations to prevent unauthorized contact.

OAFC 2017 Conference and Trade Show

Main Conference Agenda:  Our main room sessions covers educational and informative topics that provides interest to anyone in working in the fire service, corporately or in a municipality.  Whether an upcoming or well-seasoned fire service professional, we have many topics of interest that pertain to all types of fire services – municipal, industrial - full time, composite and volunteer departments. 
 
Training Officers Seminar:  In partnership with the Ontario Association of Fire Training Officers, the training officer’s seminar includes a variety of presentations from the main conference agenda and incorporates customized sessions dedicated to training officers.  Delivered by high profile speakers, presenting on the most current hot topics pertaining to training in the fire service, this seminar is a must attend for all levels of training officers.
 
Public Educators Seminar:  The Ontario Fire & Life Safety Educators in conjunction with the Ontario Association of Fire Chiefs developed a public educator’s seminar, specifically tailored to promote education and initiatives relevant to today’s public fire educators and fire prevention officers.  The program is designed to share information, resources and network with like minded educators/prevention officers.  
 
Communications Forum:  The Ontario Fire Communicators Association in conjunction with the Ontario Association of Fire Chiefs have developed a forum to help communicators understand more about today’s common issues facing Ontario’s communication centres. The seminar includes a variety of presentations specifically selected on important issues facing communicators in the fire service.  
 
Municipal Officials Seminar: The Essentials of Firefighting and Firefighting 101 offers municipal officials the opportunity to understand the challenges of the fire service and its importance in their communities. This two-day session includes presentations customized to provide you with essential information about the fire service.  The highlight of the program is an interactive, hands-on training exercise.  Past attendees have included government officials, mayors and councillors, CAO’s, directors and other senior municipal staff.

Successful Marketing Strategies before the Trade Show

The trade show industry has grown and evolved from its early days, when exhibitors simply showed up and presented their wares or services. Today’s industry requires a thorough follow-up campaign and most importantly, extensive planning and marketing steps taken long before the trade show doors open. Businesses who want to make the most of the trade show experience and gain the most sales and leads must properly prepare, predominantly in their pre-show successful marketing strategies.

The Importance of Trade Shows

Businesses are only able to grow with the continued addition of new customers, new ideas and new business, and trade shows provide an extraordinary opportunity to meet potential new customers, expand leads lists, and properly display new and exciting new offerings of a company. The Center for Exhibition Research collected data on the importance and value of trade shows for businesses and found that 70 percent of trade show attendees plan to buy one or more products, and 26 percent actually sign purchase orders.

Even more telling, 72 percent of attendees say that the trade show itself heavily influenced their decisions to buy. Clearly, trade shows are an important piece of the marketing puzzle for your business, a necessary step in finding the buyers and closing the sales.

Trade shows provide the following benefits to businesses:

Irreplaceable exposure: Meeting and greeting potential customers face-to-face has the maximum effect on your business’s ability to sell, and to a large group of people at the same time.

Expanded reach: Information shared at trade shows can be passed along to other potential customers through one of the most highly appreciated forms of marketing – word of mouth.

Lessened costs: Marketing efforts are compacted into a three or four day event, allowing businesses to reach a large number of customers simultaneously, and without the added costs of external advertising.

Pre-Trade Show Marketing Strategies That Work

Knowing how important trade shows can be to your sales, it’s critical to take the most steps possible before the events to maximize trade show efforts. Some great examples of marketing strategies that work include:

Share it Socially: Your attendance at the trade show can be expertly promoted through social media outlets, most without any cost. Spread the news of your attendance (and featured products) on Facebook and Twitter, or even consider setting up a Pinterest or Instagram account for full-color images of your exhibit offerings. Use the weeks leading up to the event to heavily promote your attendance with daily posts to build excitement and attention.

Connect with Other Exhibitors: Using LinkedIn and Facebook, RSVP to the trade show event and connect with others in the group or on the guest list. Share ideas for the trade show and also use the opportunity to make potential business connections for future sales.

Update Business Website: Make sure your business website contains all information about your trade show attendance, including the hours and location, and even offer a coupon to be used for orders placed at the trade show.

Use Send-outs: Build excitement and place focus on trade show attendance with a strategic email campaign in the weeks leading up the event.

Send a Press Release: Press releases are still considered valuable pieces of marketing, and putting a press release into the right publishing hands can send exposure all over the web.

Change Business Voicemail: May sound simple, but including a brief message about your attendance at the trade show on your company’s voicemail can alert callers to the fact. Include relevant information or a website address visitors can go to for more information.

Share New Products: Build hype for trade show attendance by announcing the unveiling of new products, with trade show attendees able to have the first look and chance to order. Share this news socially or through email send-outs.

Have a Contest: Reward those who follow your blog or social media sites with a contest, a chance to win free services or products from your business, encouraging them to share with others. Consider designing an ‘invitation’ to the trade show, and reward the person who can share it the most with a nice discount on your products.

Most importantly:

Be Creative: Creativity doesn’t have to cost a great deal; some of the greatest trade show marketing ideas have been relatively inexpensive. Find a way to make attendees want to visit your booth, be it with humorous advertising, promise of free wares or the guarantee of discounted services for trade show attendees.

Be Prepared: Not just with a well-designed and visually striking exhibit, but prepare fully with your presentation. Practice your ‘elevator speech’ so that when the time come, the lead or the sale is easy to capture. Consider making ‘business theater’ a part of your exhibit, inviting attendees to learn more about your business while also being able to reach a large number of people at a time.

Make the most of your trade show experience by taking advantage of every opportunity available, weeks and months before the event ever happens. Then, when the time comes, the trade show will bring in the most leads and ultimately the most sales.
